I'll get it started by seeding this post with a few softball questions :)


Q. Who is eligible to come to the rally?
A. Anyone who currently owns a Heartland produced RV and plans to bring it with them to camp in at the rally.

Q. When is the rally?
A. It is June 14-17, 2012

Q. What is a rally?
A. In general, an RV rally is a gathering of RVers to meet, share, learn and have a great time.

Q. What's special about this rally?
A. A couple of things. First, it's a Heartland rally. That means that 100% of the attendees will own and be camping at the rally in a Heartland RV. Second, this is the largest rally we put on in North America, once annually. Third, we try to do a few things at this rally that we just not able to at local Chapter and Regional rallies.

Q. Where's the rally being held?
A. It is being held at the Cam-Plex in Gillette, WY

Q. What's the cost of the rally?
A. The rally fee has not been set yet. I expect to do this not later than December 1st.

Q. What's included in the rally fee?
A. Quite a bit actually. The rally fee will include:
- 3 nights of full-hookup camping at the Cam-Plex
- Several meals
- Seminars
- Entertainment

Q. When and how can I register for the rally?
A. The current plan is to open registration sometime in the month of December. Most likely between the 1st and the 15th. Registration will be 100% online. I use the website and registration software of a 3rd party company to facilitate the process. It's fast, simple and secure.

Q. How will I know when registration is open as I hear this rally sells out FAST!
A. Two ways. First, as a benefit of their membership, Heartland Owners Club members will be given first an exclusive registration window. They will be notified by email. Second, once the Club member registration window closes, a post will be made on the forum notifying all 12,000 forum members that general registration is now open for all Heartland owners.

Q. What about coming in early for the rally. We always enjoy getting to town days/weeks ahead of time? :)
A. UPDATE (4-Oct): You may arrive up to ONE WEEK EARLY! (Thursday, June 7). We just worked this out with the Cam-Plex. Rates will be determined at a later date.

Q. We don't like to leave on Sundays, we prefer to leave campgrounds and rallies on Monday or later. Can we do this?
A. Sorry but we MUST leave Sunday. Newmar is holding their rally immediately following ours, so we must vacate right away..

Q. How close/far is the campground (Box Elder) from the rally hall (Wyoming Center)?
A. I'd say it's about a quarter mile. Pretty good walk (20 minutes), breezy bike ride (10 minutes) and easy truck ride (5 minutes).

Q. We have our own golf cart - can we use it at this venue?
A. Yes, you can bring/provide your own golf cart at this venue.

Q. Will rental golf carts be available?
A. It is not known at this time. If we have them, we will have to bring them in from over the mountain. They will likely be costly. But I hope to have some available - at whatever the rate may be. There will be an advance signup and payment feature for this during registration, should golf carts be offered.

Q. What level of hookups will we have?
A. We will have full-hookups. A mix of 30 and 50 amp power. It will be cool, maybe even cold. Doubtful that air conditioners will be needed, much less the need for 2 at once.

Q. Where are the utility connections be.
A. Everything connects behind the RV. Bring plenty of water and sewer hose. Probably won't need to extend your power cord beyond the factory length unless your connection is at the center of the side of the coach.

Q. What about garbage pickup at the RV sites?
A. Trash bins / dumpsters will be located on site and are picked up by the city.

Q. Are all the sites pretty level?
A. Most sites are "generally level" but some sites are a climb up from the street. We will do our best to block out the worst of these sites and not assign them.

Q. We read where the sites are rather narrow, only 18 feet. Is this true?
A. Yes, this is true. However, it is our "plan" to use every other site. Not 100% certain we will be allowed to do this, but it's "the plan" at this time.

Looking at our plans for next Summer. Any ideas on what there is to do/see around Gillette, and what types of activities are planned? I passed through there several years ago on a motorcycles trip and as I remember it wasn't very inviting. I guess I'm on the fence on this one...Don

Hi Don - great seeing you guys at the MO rally lat weekend! I don't have a list of activities just yet for this rally. I'll be doing more planning in the next 60 days.

Is the factory going to bring a semi truck load of parts plus the techs. to do some repairs on the rigs in Gilette as they did in Goshen ?

Yes, this is the "plan". Heartland is still working through how to do this successfully. At the 2011 rally, even though everyone was pre-signed up for service for 2 specific things to be worked on and we brought with us, all the anticipated parts for those things, we still made 2 parts run each day for 5 days, back to the plants and to service.

Point being, Heartland will do their very best up front to determine through the service signup process, what a particular rig may need in terms of parts and that's what they will bring, plus more. But there's no going back to the plants or to the customer service parts building.

I am really looking forward to having this rally benefit for the first time "on the road". How well it's received, how well we perform will dictate whether we do it again.

Hope you and Teresa can make it. And the dogs too. I know they miss me :)

It's possible that my Grandson will be coming with us, but not sure at this time if he'll be able to go. I was wondering if it would be possible to add him later (possibly May at the latest), if he would be able to go?

Doug,

Great question. Yes! There will be Heartland Owners Club branded items for sale in Gillette. Karen and Dan Halvorsen (herbiesrig) have agreed to volunteer to work this table for a couple hours on Wed, Thu and Fri. There will not be any shirt or jacket sales as that is custom embroidery work and we're not doing anything like this at the rally.

What are the directions to the rally site? Have spaces been assigned yet?

Go to the portal page, at the top is registration link for the rally, at the bottom of the box is See who's attending the Rally - Click me!. you can find siting information there.

There was a post recently with directions to Box Elder campground but I can't put my fingers on it right now. I'm sure someone else will find it though.

Here's your rally update for this week.


STATS
Current rig count: 136

RALLY AGENDA - UPDATED!!
More work has been done on the agenda and it continues to be fine-tuned ever so slightly. I have attached the latest version. A printed agenda will be included in your rally bags upon check-in at the rally, so you do not need to print this working agenda out.


CAMPGROUND
We're camping in the Boxelder campground. All sites have been assigned - see section below for a link to the site map and attendee directory. All sites have 50/30 amp power, water and sewer hookups. All hookups are BEHIND YOUR RV. Be prepared. Make sure you are bringing with you, enough water/sewer hose and power cable to reach. There is no cable TV. We have paid for open WiFi and Heartland RVs is making this available to rally attendees for free.


ROUTE / CAM-PLEX ENTRY
Enter from Garner Lake Road east onto Indian Paintbrush Drive. Turn right onto Maverick Drive and proceed to the Check-In area.


DO NOT PROCEED DIRECTLY TO THE CAMPGROUND!


RALLY CHECK-IN
Check in will be on Maverick Drive between sections 1 and 2 of the parking lot. Here, you will be checked-in, given your rally bag, have a rally decal placed on your RV front cap and moved along to the Rig Weighing station and/or the Campground. Please leave the rally decal on for the duration of the rally. It indicates you were checked into the system. The adhesive on the back of the decal is very light and the decal should peel right off after the rally.


RIG WEIGHING
Rig weighing will be on Maverick Drive in front of section 3 of the parking lot. It's best to have your rig weighed "on the way in" - though you can have it weighed on Sunday on your way out too. If you did not sign-up in advance, you can still be weighed. Just get in the line.


ROUTE TO CAMPGROUND
After check-in and weighing, coaches will turn right on Broken Spur Road, then Left on Boxelder Road. Travel east on Boxelder Road to the main entrance to the Boxelder Campground between rows B & C. The Parking Team will be staged at that entrance to escort attendees to their sites.


OOPS ROUTING
For attendees that miss the turn onto Indian Paintbrush Drive, they should continue to Boxleder, then turn left onto Broken Spur Road, cross over Maverick, turn left onto Reata, then turn left on Indian Paintbrush, then left onto Maverick and go through check-in.


SERVICE CHECK-IN
You DO NOT need to check in with the Service Team if you have previously submitted your Service Request.


RALLY SERVICE REQUESTS - LAST CALL!
Because the parts trailer is about to be loaded back in Elkhart, need to close the Rally Service Request submissions form on the last day of May. To date, we've received and processed Minor Rally Service Requests from 93 attendees. That means that 43 attendee rigs did not submit anything. SURVEY - HOLDING TANK CLEANING SERVICE?
Have you ever considered having your RV holding tanks professionally cleaned? Would you like to restore your tank monitors to accurate operational status? The rally that follows ours has a vendor coming to their rally called All Pro Water-Flow. I'm considering asking this vendor to come to our rally if there's sufficient interest. POTLUCK DINNER - FIRST NIGHT OF RALLY (Thursday)
We "are" having a potluck at this rally. Yep, 136 potluck dishes :) Below is a link to a rally thread that explains how we do potlucks for large groups. It worked once - it can work again :) Bring your dish to the rally hall not later than 5:45 pm.
NOTE: While the potluck has always been planned for and remains on Thursday, in one place in the potluck document on the forum, I stated Wednesday in error. The potluck will be held THURSDAY.

GOLF CARTS
Golf cart rentals are now closed. Final numbers have been turned into the rental company. If you want to extend your existing rental on the front end (earlier), we can do that - but it's the only change that can be made at this time. THEME NIGHTS (sort of)
Friday night will be Rally T-Shirt night. Wear your rally shirt anytime you wish, but please wear it to dinner on Friday night. Saturday night will be Western wear night. If you own any Western wear, even just a cowboy hat, consider channeling your inner cowboy/cowgirl for dinner Saturday night.

Site assignments are now complete! See the link in post # 3 of the thread below for the Site Assignment / Attendee Directory to find your site number. Note - we cannot accommodate site change requests, so please make the most out of your assignment. The great news is that we were able to accomplish the goal of using every other site, which gives everyone a 32 to 38 foot wide site. Though I can't commit to keeping this current, also in post # 3 of the thread link below is a site map (PDF) for the Boxelder campground. Find yourself on it! See who your neighbors are. Don't know them, meet them and make new friends!

HEARTLAND GIVES BACK
We have a local program that we as rally attendees will be working hard to support. We'll be supporting the local program of "Blessings in a Backpack". Heartland Club Members Ron and Donna Markey (2markeys) will be coordinating our effort. More information can be found on the forum at the thread link below, but the gist of it is this: $80 can feed a school-aged child on the weekends for an entire school year. This program, with the help of volunteers and corporate sponsors, purchases backpacks, fills them with food and distributes them to children at school on Fridays, thus ensuring the child has food for the weekend. There are 7 schools participating in the program in Campbell County with 5 of those being in Gillette. We have set a goal of collecting money (cash or check) to fund 25 backpacks. That's $2000. Can we do this Heartlanders? I think we can! If you can, please earmark $20 to benefit this local program for children.

FOR SALE TABLE
Do you have some RV items or other items you've been carrying in your RV that you no longer use or need? Do you want to offer those to fellow Heartlanders at an awesome price or even free? Follow the forum thread link below for more information. In that thread, you'll find a PDF file that you need to print out. The document contains the rules of the table and a sheet of price tags. Complete a price tag and attach it to each item you put on the table.

RV WASHING SERVICE
Who want's their rig washed and maybe even waxed and wants to pay someone else to do it? You're in luck! We just completed arrangements to have an RV wash crew come to our rally. AALL Brite RV Cleaning will have a crew on-property from June 7th through the end of the rally. As a service to AALL Brite and you, we've created a RV Washing sign-up process. By using the form to signup in advance, it will give AALL Brite a better shot at scheduling and will better ensure you get the slot you want. So far, 8 rigs are signed up to be cleaned. CANCELLATION REMINDER
Just a reminder that May 15 was the final day that rally cancellations would result in a 90% refund. If circumstances find you in need of canceling your rally attendance, even after the 15th, please email Julie at club@heartlandowners.org and she will take care of it in the system.

CAMPGROUND TO RALLY HALL
Please be advised that there "will not" be a shuttle running from the campground to the rally hall (1/4 to 1/2 mile distance). When you travel to the rally hall, consider taking another couple with you to reduce the traffic and amount of trucks going back and forth. If you've rented a golf cart, please consider taking your friends or neighbors on your trips to and from the rally hall.
