2016 Las Vegas Rally - Registration

For all who get registered for the rally - you DO NOT need to contact Oasis right away to make reservations for your pre and post rally camping. In fact, they've been getting more calls tonight (25-Feb) than we have sent out invitations for. They were not very happy with me for this.

I want to be as clear about this as I can... If you get registered for the rally, your same site is secure for the pre/post rally. You DO NOT need to contact Oasis "at this time". You will have until September 30 to call Oasis to reserve your pre and post rally camping. At a minimum, please wait until after March 15 to call them. Thank you for understanding.

Registration Communication Plan for Regular Club Members*

As to when registration will open, advanced notification will be

Placed on the Heartland Owners Forum
Placed on several Facebook pages
Sent via email to all club members

We plan to do this a couple of days in advance of opening registration. The registration link will be included although regular club members will not be able to register until or after the actual time registration opens.

At the precise moment registration is opened, final notification will be

While members will not be able to register prior to their registration launch, we encourage all that are interested to NOT WAIT for final notification but to start registering, not sooner, but at the prescribed date/time for their group (see below).

* Note that some groups will be registering a few days earlier than others. Those groups may not receive the same amount of advanced notification as regular members.

Registration Timing based on Specific Club Membership Groups
For the purpose of this rally, Club Membership has been broken into several groups. Each of these groups will have a different registration window.

Core-Team - 24-Feb - evening
Pacific and Mountain Region Leadership - 25-Feb - evening
All Club Leadership - 27-Feb
Pacific and Mountain Region Members - 29-Feb at 12:00 Noon Central Time
All Club Membership - 2-Mar at 12:00 Noon Central Time

Registration Process, Notes and Tips
Below is some helpful and some vital information about registering:

Information you'll need:
- Your Forum/Club email address
- Address, Travel Cell Phone Number
- *Secondary Person info (name, email and travel cell phone number)
- Emergency Contact Info (optional)
- Club Info (HOC #, Club Position and Home Region/Chapter)
(lookup table sorted by forum username)
- **T-Shirt Sizes (name of 2nd person - if applicable)
- Rig Info (type, model year, brand and length)
The refund policy for this event is refunds will be made, less a $100 cancellation fee for cancellations made through September 7th - link to more info
The Agenda continues to be worked on and will be in DRAFT mode until the time of the rally. A current version can always be accessed via this link. Access it often to review updates.

* While optional, adding contact info for a Secondary person (your camping companion - where applicable) is useful for a couple of reasons.

2016 Las Vegas Rally - Post Rally Camping Cost Change

For all who have registered for this rally, please note that I made an error when I created the rally details page on the club site (link) and in the rally registration website.

I indicated that attendees could get the rally rate ($40 plus tax) for one post rally night (Sunday, October 9th). This is NOT the case. The rate for that night will be the prevailing campground rate less any discounts. I believe they accept AAA and GoodSam.

My error came on the final day of contract negotiation where they would only give me 7 nights at $40. I chose to put those on the 4 pre-rally nights and the 3 rally nights and had to give up the rate on any post rally nights. Then I simply forgot this fact when we programmed the rally.

All online materials have been changed and we will push a note out to all registered rally attendees to advise them. Sorry for the error.
